5 REASONS YOU NEED A WAITING ROOM VIDEO FOR YOUR NEXT VIRTUAL EVENT

Picture this. You are ready to enter the event of the year. The doors open and you hear that perfect song and you know the event is about to start.

You can see it right? So can you. When you start in real-life events the first thing you do when those doors open is play the perfect song so that our attendees know, it’s time. At East of Ellie, there are twelve years of live show experience under the event planning belt, and those first few minutes are the impression you want to leave with your attendees. It starts the experience of the event and should be treated as such.

So how do you create this experience virtually? Here are 5 reasons why you need a waiting room video for your virtual events.

1. It sets the tone for your event

In a virtual world, starting your event off with “hey can everyone hear me?” doesn’t really set the right tone or show the polish these events deserve. Since EOE isn’t in the room to guide you to your cues, you do the next best thing. The waiting room is a branded experience that can get the party started (literally and figuratively) and let the attendees know, this isn’t just another Zoom meeting.

2. It gives the speakers a chance to breathe and prepare to take the stage

You may not know this, but when you do a virtual event, you have our key stakeholders, presenters, and speakers in Zoom before you technically “start the show” and let attendees in from the waiting room.

During that time, you can check lighting, make sure you can hear (and see) everyone, and on many occasions, make those last-minute PowerPoint updates so whether your waiting room video is 5 minutes or 15 minutes, everyone will be ready when it’s time to press play.

3. It makes life easier

Ever had to manually check 130+ Zoom attendees’ names against a guest list before starting a meeting? Yeah, we have. You can have several Zoom operators dedicated to exactly that, and it takes some time. The waiting room video allows your guests to be entertained while you work on getting everyone into the meeting from the waiting room.

4. It gives your master of ceremonies a starting point

In live events, it’s clear when someone physically takes the stage, so when you do this virtually, that transition can be more challenging.  In our virtual studio, our virtual studio is ready and waiting for that countdown clock to hit 0:00 to spotlight our Emcee to kick off the event. It removes that uncertainty and gives a professional polish to your Zoom meeting.

5. Creativity is our core

Sizzle clips, brand videos, product imagery, moving water, and even poured out 45 BUXOM lipglosses into a tray and filmed it, to get that ASMR video just right for our waiting rooms. Creativity is at our core, and let’s push the limits since the possibilities are endless in virtual.

Ready to schedule that Zoom meeting and simply cannot do it without a waiting room video? We have good news. We always deliver so you don’t have to. It’s all about you and how you can make your life easier.

Depending on the number of attendees, we’ll create a custom video that is branded and includes a countdown to the start of the virtual event whether it’s 5 or 15 minutes.
